The correct category must be selected to ensure correct scoring. The content of the abstract must be topic related. The Technical Programme Committee may reassign an abstract to another track.

Abstracts can only be submitted online via the online abstract submission system. Abstracts sent by post or email will not be accepted. No exceptions will be made.  

Abstracts should be structured into the following sections:  

  • A title which indicates the content of the abstract  
  • Background & Objectives    
  • Methods    
  • Results    
  • Discussion and Conclusion   

Word Limit:  

The acceptable length of the abstract is not more than 300 words.

Graphs/Images/Tables:   

Only 1 graph/image/table can be included.

Language:  

Only English is accepted. Please ensure that your abstract does not contain spelling, grammatical or scientific errors, as it will be reproduced exactly as submitted. No proofreading will be done.  

Oral Presentation:  

  • If an abstract is accepted for oral presentation, the presenting author, as specified at submission, will be requested to present it in the assigned session.  
  • You will be informed of the oral presentation guidelines, and specific date and venue for your presentation by 25 April 2025.  
  • If the abstract is accepted for oral presentation, the authors, represented by the presenting author, will grant ICMAT 2025 the right to share the presentation slides and use them for educational purposes.  

Poster presentation:  

  • Poster viewing will take place from 30 June to 2 July 2025.

  • If an abstract is accepted as a Poster presentation, the presenting author will be requested to be available for discussion during the corresponding Poster viewing session.
  • Further details on how to create your Posters will be sent to you by 25 April 2025.

Abstracts can be saved in “Draft” status to be re-edited and modified until the submission deadline (14 February 2025, 23:59 GMT +8).

Abstracts can only be submitted if all required abstract submission fields have been completed. Only abstracts in “Submitted” status will be regarded as successfully submitted and considered for the conference.

Symposia Chairs will review abstracts for contents and scientific merits.

The review decision will be either “Accepted” or “Rejected”. ICMAT 2025 does not provide any individual feedback on the reasons for acceptance/rejection of an abstract.

Presentation mode (Oral or Poster) will be decided at the time of session scheduling.

  • The author’s preferred presentation mode is usually honoured though not guaranteed to be satisfied.

Acceptance is on condition that at least one author attends the meeting to present the accepted abstract.

It is the intent of ICMAT 2025 to provide high-quality sessions focused on educational content that is free from commercial influence or bias. Thus, the submitting author of an abstract is requested to declare any potential conflicts of interest for all authors during the abstract(s) submission.

A written statement reflecting the reasons for withdrawing your abstract must be sent to the ICMAT 2025 Conference Secretariat no later than 31 March 2025, 23:59 GMT +8.

If the presenter does not register for ICMAT 2025 by 31 March 2025, 23:59 GMT +8, the abstract will be withdrawn from ICMAT 2025.

  • Abstracts accepted for the conference are subject to the “Transfer of copyright”. With the submission of an abstract, the authors agree to the transfer of copyright.

  • The Corresponding Author has the right to grant, and does grant, on behalf of all authors an exclusive license on a worldwide basis to ICMAT 2025 to publish the abstract (if accepted) in any media and to exploit all subsidiary rights.

  • Information on accepted abstracts will be available online about one month prior to the conference.

  • All co-authors must be added to prevent omission from all publications and the author index.
  • The submission of an abstract constitutes a formal commitment by the presenting author to present the abstract (if accepted) orally or as a poster in the session and the time assigned by the ICMAT 2025 Technical Programme Committee. We therefore recommend that submitters of abstracts register for the conference simultaneously with the abstract submission.

  • Scheduling of poster sessions and oral presentations is at the discretion of the Technical Programme Committee. Abstracts will be organised into sessions according to the symposia topic the abstract is finally categorised into.

  • If the presenter does not register for ICMAT 2025 by 31 March 2025, the abstract will be withdrawn from ICMAT 2025.

Abstracts not adhering to these terms will be rejected. If you do not agree with any of these rules, you should not submit an abstract. The final decision about acceptance of an abstract will be taken by the ICMAT 2025 Technical Programme Committee.
